    Position Overview:

    The Executive Administrative Assistant (EA) holds a key position providing direct confidential administrative and clerical support to the Chief Technology Officer (CTO).  The EA is instrumental in assisting the CTO execute his leadership responsibilities and in supporting our employees, partners, and customers. This role performs a wide variety of both typical and complex administrative functions that contribute to the efficient and professional operation of the overall technology team.

     

    The ideal candidate will have a genuine appreciation for protocol, discretion, and professionalism. He or she must be able to maintain confidences and be tactful and diplomatic at all times. The successful candidate will also possess exemplary organizational skills, the ability to multi-task and prioritize, strong attention to detail and to follow through. The successful candidate will also be efficient, and resourceful; be able to develop strong relationships; have great communication skills; have demonstrated the ability to take initiative and accept responsibility; and be able to make decisions in accordance with the practices of the company.

     

    Responsibilities include:

    • Coordinating meetings and proactively resolve conflicts including making recommendations for meetings with other leadership team members
    • Responding to telephone, email, and in person inquiries providing general information
    • Preparing documents, presentations, internal correspondence and agendas
    • Taking, transcribing & distributing minutes
    • Arrange travel plans by working with our travel manager
    • Proactively creating and maintaining effective communications
    • Assisting other executives and (or) their assistants in coordinating company events
    • Managing expense claims
    • Managing and scheduling meetings, conference calls and appointments
    • Managing the CTO’s email and calendar - both incoming and outgoing
    • Meeting new clients and visitors while maintaining the companies professional image
    • Assisting in the production of monthly, quarterly, and annual reports
    • Ensure all correspondence adheres to a consistent and professional standard as identified by the CTO
    • Maintain a high level of accuracy in all legal administrative tasks
    • In order to provide effective and efficient service it is expected that the incumbent will work flexible work hours. In addition, some travel may be required

    Qualifications:

    • 3 – 5 years of experience providing support at the executive level
    • Exemplary organizational skills, ability to multi-task and prioritize, strong attention to detail and follow through
    • Fluency in Outlook, Word, Excel, PowerPoint
    • Ability to work independently and also as a team
    • Excellent oral and written communication skills
